Financial Investigation – South Bend, IN

I am a physician and own my own medical clinic in the South Bend area. I have a staff of 10, including an office manager.  Earlier this year I noticed the practice wasn’t as profitable as it should be, in spite of the fact that it had actually grown. I am very focused on patient care and had foolishly entrusted all business and employee-related matters to my office manager of 15 years. I spoke to her about the financials and she said that she would look at our accounts payable and receivables. When I brought it up from week to week, she would simply say that things looked fine, and that she was looking into it further with the bookkeeping service.

I’m embarrassed to say that months went by. One day, my wife retrieved the mail before our office manager and found a credit card statement in our clinic’s name, which I knew nothing about. My wife contacted the credit card company and they stated that according to their records I had applied for the card in the clinic’s name two years ago and that there had been weekly activity ever since.  The credit card company furnished us with the card activity for the previous 90 days and we were stunned to find that there had been approximately $3000 per month charged to that card, and the card balance had been paid off at the end of each month. I contacted our bookkeeping service and they indicated that according to the records, monthly payments had been made to that credit card company for the last two years. I confronted the office manager and ended up firing her on the spot and she threatened a lawsuit as she departed my clinic. In order to protect myself and my practice I knew that I needed to have someone look into what had happened but I did not want to involve the police until I knew what had actually occurred and also because of the possibility of it being made public and how that would reflect upon my practice. Furthermore, I wanted some control over the decision of prosecution, depending on who was involved as well as the level of my financial loss. I spoke to another local doctor and he recommended Coppins Investigative & Security Group. I called and spoke to Brett Coppins who met with us the following day. Brett agreed to work as our investigator.

Within a couple of weeks he had identified how our office manager had stolen more than $225,000.00 over a three-year period.  Brett documented irrefutable evidence in a comprehensive report, which was ready to turn over to law enforcement.

Brett conducted his inquiry in a very precise, efficient and unobtrusive manner. As a result, our staff was virtually unaffected and most importantly, we are emotionally healthy and very profitable again. I cannot give enough praise to Brett and his people and I would highly recommend them for matters of internal theft or loss prevention.
